Position Summary


The Assistant Administrator position provides assistance to the Administrator in managing the overall facility, specifically the tasks focusing on employee and resident documentation.


Essential Job Duties


  1. This position is a Safety Sensitive Position. The essential functions, physical demands and mental competencies of this job require the employee maintain the ability to work in a constant state of alertness in a safe manner.
  2. Maintains employee files and ensures that employees’ licensure and TB skin tests are current.
  3. Maintains resident files and ensures paperwork is current.
  4. Assists management staff when necessary with paperwork.
  5. Sets up General Orientation for new hires.
  6. Puts new employees into the time clock system.
  7. Sends all employee paperwork to Human Resources.
  8. Orders supplies for other departments as needed.
  9. Manages the receptionist and other staff/departments as assigned by the Executive Director.
  10. Gives tours to potential new residents when needed.
  11. Serves as the Executive Director during their absence from the Facility.
  12. Assist the Executive Director in building an effective team of departments to address and facilitate efficient day to day operating functions of the Facility.

1. High school diploma or general education diploma (GED) is required.

2. One-year receptionist experience preferred.

3. Must be certified as an Assisted Living Facility Administrator through a certification program approved by the OLTC or must be enrolled in a certification program with an expected completion date obtaining Administrators’ license within four (4) months of hire.

3. Must meet all healthcare requirements, including Tuberculosis skin test

4. Must be in positive standing with all healthcare agencies, including the Employment Clearance Registry and Adult Maltreatment Registry


Mental Demands:


Work requires adherence to precise procedures and standards involving a high degree of accuracy in observing, recording and reporting data. While performing the duties of this job, the employee is regularly required to communicate and exchange information accurately.

This position moves intermittently throughout the workday but may be subject to sedentary work. Ability to exert up to 20 pounds of force occasionally, and amount of force frequently to lift, carry, push, pull or otherwise move objects and patients. Sedentary work involves sitting most of the time, but may involve working or standing for brief periods of time. and the frequency of treatments may vary.
